Site Monitoring & Reporting Coordinator

Responsibilities

  • Prepare and circulate daily site reports including weather conditions, work start and finish times, activities performed, workforce present on site, equipment mobilized, work progress, delays, productivity losses, operational constraints, and blocking points requiring escalation.

  • Record and report HSE topics discussed during the day, including incidents, near misses, unsafe situations observed, and site visits or inspections performed.

  • Perform daily photographic monitoring of works, including morning and end-of-day progress photos, photos of critical areas or issues, and proper archiving/classification by date and area.

  • Act as a communication relay between the Contractor Coordinator, Client representatives and relevant site personnel.

  • Promptly escalate important information, share operational updates with stakeholders, and participate in coordination meetings when requested.

  • Maintain clear, neutral, and factual communication in all reporting and coordination activities.

  • Actively contribute to the site safety culture by relaying HSE messages, reporting unsafe situations, recording HSE discussions, and ensuring traceability of safety-related events.

  • Prepare and maintain daily photographic progress reports and workforce/activity tracking tables when requested.

  • Escalate blocking points, deviations, delays, and operational constraints to project management as required.

  • Monitor and report site activities strictly within a coordination, monitoring, and reporting capacity.

  • Ensure proper documentation, organization, and traceability of reports, photographs, and site records.

  • Support overall site coordination while maintaining compliance with reporting and communication procedures.

Requirements

  • Good understanding of industrial construction site activities.

  • Proficiency in standard office software including Excel, Word, and Outlook.

  • Ability to prepare structured, concise, and factual reports.

  • Good document management and photographic archiving skills.

  • Strong attention to detail and observation skills.

  • Good communication skills with field personnel and stakeholders.

  • Clear, diplomatic, and professional communication approach.

  • Ability to work with autonomy, reactivity, and neutrality in reporting.

  • Experience in industrial construction, oil & gas, steel structure, piping, or civil works projects is preferred.

  • Previous experience in site monitoring or reporting is considered an advantage.
